What if names are spelled differently in the two files?
They are still matched. Name matching ignores case, dots, spacing and word order, so 'R.K. Sharma' finds 'R K SHARMA' and 'Kumar Ravi' finds 'Ravi Kumar'. Exact names are paired first, so a similar name can't take someone else's row, and each name match shows how close it was.
How to compare PF ECR with salary sheet?
Upload the salary sheet (or labour sheet, wage register) and the PF ECR, Excel or PDF. Choose UAN as the match key and add the columns to compare, such as EPF wages, EPS wages, EDLI wages, employee contribution and NCP days. Every worker comes out as matched, mismatched, missing from the ECR, or present only in the ECR.
How to check PF deposited for all employees?
Compare the ECR filed with EPFO against your salary sheet for the same month. Any worker on the salary sheet who is not in the ECR is listed as "Not in ECR", so you can see at once whose PF was not declared, instead of checking passbooks one by one.
Will it match UANs that are formatted differently?
Yes. Exact match keys ignore case, spaces and leading zeros, so a UAN stored as a number in Excel matches the same UAN stored as text in the ECR.
Can I allow a small rounding difference in PF contributions?
Yes. Numeric comparisons take a tolerance, as an amount (for example ₹1) or a percentage, so rounding differences in 12%, 8.33% or 3.67% contributions don't show up as mismatches.
